Privacy policy

Signapipe (“Signapipe,” “we,” “us,” or “our”) is a follow-up CRM for independent contractors and solo professionals. It helps you stay in touch with the people who matter to your business by organizing your relationships, drafting follow-ups, and reminding you when it’s time to reach out. This Privacy Policy explains what information we collect, how we use it, who we share it with, and the choices you have. It applies to the Signapipe web application and related services.
1. What we collect
We collect the following categories of information:
- Account information. Your email address and name, which you provide when you create an account.
- Your relationships and contacts. The people and contacts you add to Signapipe, along with details you record about them (such as company, role, and how you know them).
- Activity you create. The touches, drafts, notes, and other content you generate as you use the service to manage your follow-ups.
- Google data (only if you connect Google). If you choose to connect your Google account, we access data through Google APIs to power the features you enable. Specifically, we access Gmail (send and read), Google Calendar (read-only), and Google Contacts / People (read-only).
- Technical and essential data. Basic information needed to operate the service securely, such as authentication tokens and minimal logs.
2. How we use Google data and Limited Use
When you connect Google, we use the data we access solely to provide the core features you turn on: sending follow-ups from your own Gmail, detecting replies so we can update your follow-up status, surfacing your upcoming meetings from Google Calendar, and importing your contacts from Google Contacts / People.
Signapipe’s use and transfer to any other app of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements.
In keeping with those requirements, we:
- Do not use Google user data for advertising.
- Do not sell Google user data.
- Do not transfer Google user data to others except as needed to provide or improve these user-facing features.
- Do not allow humans to read Google user data, except with your consent, for security purposes, to comply with applicable law, or as required for internal operations in accordance with the Google API Services User Data Policy.
3. How we use your information generally
We use the information we collect to:
- Provide, maintain, and improve the Signapipe service and its features.
- Draft and send follow-ups, surface reminders, and organize your relationships.
- Authenticate you and keep your account secure.
- Respond to your support requests and communicate about the service.
- Comply with our legal obligations and enforce our terms.
4. Sub-processors and sharing
We use a small set of trusted service providers to operate Signapipe. Each processes data only to provide their part of the service:
- Supabase — database, authentication, and storage.
- Anthropic — AI drafting of follow-up messages.
- OpenAI — optional voice-note transcription.
- Stripe — billing and payment processing.
- SendGrid — transactional and service email.
- Twilio — optional SMS / WhatsApp messaging.
- Google — when you connect your Google account (see section 2).
We do not sell personal data. We may disclose information if required by law, to protect the rights and safety of Signapipe and our users, or in connection with a business transfer, in each case consistent with this policy.
5. Security
We protect your data with encryption in transit and at rest. OAuth tokens (such as those for Google) are encrypted. We apply row-level access isolation so that each user can only access their own data. No system is perfectly secure, but we work to safeguard your information using industry-standard measures.
6. Retention and deletion
We retain your information for as long as your account is active or as needed to provide the service. You can delete your account and data at any time. When you delete your account, we remove your data, including any Google-derived data we have stored (such as imported contacts and cached calendar or reply information). To request deletion, email privacy@signapipe.com, and we will process your request.
7. Your rights
Depending on where you live, you may have the right to access, correct, export, or delete your personal data, and to object to or restrict certain processing. You can exercise many of these rights directly in the app, or by emailing privacy@signapipe.com. You may also disconnect Google at any time from your account settings or from your Google account permissions.
8. Cookies and essential storage
Signapipe uses cookies and similar browser storage that are essential to operate the service, such as keeping you signed in. We do not use advertising or cross-site tracking cookies.
9. Children
Signapipe is not intended for anyone under 18 years of age. We do not knowingly collect personal data from children. If you believe a minor has provided us data, please contact us so we can remove it.
10. International transfers
Signapipe and our service providers may process and store data in countries other than the one in which you live. Where we transfer personal data internationally, we take steps to ensure it remains protected consistent with this policy.
11. Changes to this policy
We may update this Privacy Policy from time to time. When we make material changes, we will update the effective date above and, where appropriate, notify you within the service. Your continued use of Signapipe after an update means you accept the revised policy.
